Chapter 19: Training a VA on ArbiSource

This chapter covers what to hand a VA first, how seats work, and a simple SOP so someone else can run scans and first-pass Lead Checks without guessing.

What to delegate first

Start with work that follows a clear checklist:

  1. Running scans you've already designed (Store, Category or saved Custom Scans).
  2. First-pass triage: Check Restrictions, sort by deal score, skip obvious mismatches.
  3. Draft Lead Checks on a shortlist, which you review before anyone buys.
  4. Later: listing admin, shipment creation or purchase-log updates.

Keep buying decisions and brand choices with you until you trust the process.

Seats and access

Each standard plan includes one seat: one person logged in at a time. If a VA logs in with your details, you'll be logged out.

For two or more people working at the same time, ask support about a Custom Plan with extra seats. Each person gets their own login, and they share the scan queue, alerts and Replenishables. Email support@arbisource.com. There's more in Seats, teams and VAs.

Don't share your Seller Central password. If your VA needs Seller Central, add them as a user with Amazon's user permissions.

A simple ArbiSource SOP

Give your VA a one-page brief:

StepInstruction
1Choose the saved Filter Set named … from the Filter Set dropdown
2Run Check Restrictions; remove what we can't sell
3Sort by deal score; open the top results
4Fill in the Lead Check sheet (Match, Money, Momentum, Safety)
5Mark each lead Buy, Test-buy, Watch or Pass; add Buy and Watch leads to the Sourcing List
6Stop: don't place orders unless the brief says so

Add your minimum profit and ROI, the sales tax allowance you use (if any), and any brand or category rules. Point your VA to Chapter 7, Chapter 20 and Chapter 33 of this handbook, and to the in-app welcome guide for feature-by-feature tours. The Lead Check sheet on the Downloads page gives them a ready-made place to record each lead.

Checklist

  • I've written my minimums, tax allowance and brand rules in one place
  • My VA has their own seat if we need to work at the same time
  • Buying still needs my approval until the SOP is proven
